If you created a full client record for someone who then did not go ahead, and no clinical work took place, you can remove it rather than keeping a file for a person who never became a client. The deletion is recorded with your reason.
How to do it
- Check first that this really was an enquiry only, and that no clinical work was undertaken. If there are session notes, this is not the right route.
- From Your Clients, open the record. Scroll to Data Export and find Delete Client Record.
- Enter a clear reason, such as "Initial enquiry only. Decided not to proceed. No clinical work undertaken."
- Read the confirmation, which lists what will be removed, then complete the deletion.
Worth knowing: This removes session notes, uploaded documents, contact details and all historical data for that person, and it cannot be undone. It is not a route for tidying up records of real clinical work. Where therapy took place, your retention obligations apply regardless of how briefly you saw someone, so check them before deciding.
