Data Export gives you two things: a notes summary covering a period you choose, and a full record of everything held for that client. Either is a starting point for a subject access request, a handover, or your own copy.
How to do it
- From Your Clients, open the client record and scroll to Data Export.
- For notes alone, use Notes Summary Export, set the date range you want, then click Generate Notes Summary.
- For everything, click Export Full Client Record and follow the download prompts. This brings notes, appointments, payment history and documents together.
- Open what downloads and check it before you send it anywhere, including any report of files that could not be included.
Worth knowing: A full export arrives as a ZIP file, which is not the same as an encrypted one, so store it somewhere secure and delete it once you are finished. Before answering an access request, read it through for anything about a third party. Notes you have deleted appear as their deletion notice rather than their original text.
