At a Glance
The dashboard is your client list and your practice at a glance: every client and supervisee you hold, the numbers that need your attention, and the doorways to everywhere else in TherapyLock.
What lives here
The dashboard has four layers, top to bottom:
- The quick link navigation bar at the very top: Clients, Calendar, Payments and Documents. This one follows you around the app
- The primary navigation bar: Create New Client, Appointments Calendar, Practice Documents, My Account and Sign Out
- Practice at a glance: the information that matters most
- Client Records: the list itself
You will see a greeting with your name at the top. If it shows your email address instead, your display name has not been set yet: go to My Account, find Your name, and the greeting will use it from then on.
Working in more than one place
If you work across several settings, your clients are grouped on the dashboard under each place of work, with a count beside each one, and you can filter the list to a single place at a time.
Alongside the Active, Inactive, All and CYP buttons you will find an All places of work dropdown. Choose a place and the list narrows to those clients. Leave it on All places of work and the list groups your clients under each place instead, with a count beside each one.
The dropdown also has a No place of work set option, which is the quick way to find anyone you have not assigned yet.
TherapyLock remembers the last place you chose, on that device, so if you spend a given day at one organisation the dashboard stays where you left it.
Cannot see the dropdown? It only appears once you have set up at least one place of work in My Account. Add one, refresh the page, and it will be there.
Set your places up in My Account, under Places of work. Then open a client, click Edit, and choose their place of work alongside client type and session mode. You can work through your existing clients gradually: anyone you have not labelled yet still appears in your list as normal.
Your practice at a glance
Each card in this row answers one question:
- Active Clients: how many people you are currently seeing
- Total Clients: everyone you hold a record for, active and inactive
- Retention Alerts: records approaching or past their deletion date. Zero is the number you want to see here
- Practice Documents: how many of your own documents are stored, things like your insurance and clinical will
- Outstanding Payments: the total you are owed, and how many clients it relates to
Most of these are read at a glance. Practice Documents and Outstanding Payments also work as doorways: select Practice Documents to go straight to your own paperwork, or Outstanding Payments to open Payments and see the detail behind the number.
When a record does need attention, a retention alert card appears below this row telling you whether records are approaching their retention expiry or eligible for deletion, and which ones. What to do when that happens gets its own article.
The client list
Every client and supervisee you hold, one row each. Each row shows the client identifier, when the record was created, and badges telling you at a glance: active or inactive, client or supervisee, how you see them (online, in person or telephone), and how many sessions they have had.
To find someone:
- Use the status tabs to switch between Active, Inactive, All and CYP (children and young people)
- Search by client identifier
- Sort by most recent, A to Z, Z to A, or start date
Select any row and you are in that person's record, where their notes, documents, appointments and payment history live.
What you can reach from here
- Create New Client starts a new client record
- Appointments Calendar takes you to your diary
- Practice Documents opens your own filing drawer
- My Account holds your plan, security and exports
- Sign Out ends your session. TherapyLock will also sign you out itself after 30 minutes of inactivity, with a warning first, to protect the records on an unattended screen
What you will not find here
- Appointments themselves. The dashboard tells you nothing about today's diary; that is the calendar's job
- Your own paperwork. That lives in Practice Documents, deliberately separate from client files
- Anything about one client. Details, notes and documents are all inside the client's record, one click away
When the list is empty
A brand-new account shows No Clients Yet with a button to create your first client record. That is the expected starting point. If you had clients yesterday and see an empty list today, check which status tab is selected before anything else; a tab showing Inactive, or a search still in the box, is the usual explanation.
